Our Exchange Online Migration Process
Pre‑Migration Assessment & Clean‑Up

DNS records (SPF, DKIM, DMARC) are checked, identity infrastructure is assessed, and hybrid identity is planned using Microsoft Entra Connect where the setup calls for it. Legacy protocols like POP3 and IMAP are flagged for replacement with modern authentication. Stale mailboxes, unused aliases, and excessive permissions get cleaned up before anything moves, so you are not paying to migrate junk.
Pilot Migration and Testing
We migrate a representative set of pilot mailboxes covering different user types and mailbox sizes. The pilot validates that mail flow works in both directions, Outlook profiles configure automatically, mobile devices connect, shared mailboxes and distribution lists behave correctly, and calendar sharing holds up. Anything that needs adjustment (firewall rules, DNS changes, hybrid mail flow, Outlook client updates) gets sorted before the production cutover, not during it.
Production Migration and Cutover
Migrations run in planned batches or as a full cutover depending on your size and preferences. Larger organisations usually migrate department by department over a few weekends. Smaller businesses often prefer a single cutover window. DNS records are updated carefully during cutover so new mail routes to Exchange Online while we complete final synchronisation of existing mailboxes. Mail flow is monitored continuously throughout, and we verify users can send and receive internally and externally before declaring the migration done.
Post-Migration Hardening and Support
