How Licence Sprawl Happens

No one sets out to waste money on licensing. It accumulates through perfectly normal business activity. Someone leaves and their account gets disabled, but the licence stays assigned. A project needs a premium feature for three months and the add on never gets removed. A team gets upgraded to a higher plan for one capability that a cheaper mix would have covered. Each decision is small and reasonable at the time. Together, across a year or two, they add up to a meaningful slice of your monthly bill doing nothing.

The difficulty is visibility. The Microsoft 365 admin centre shows what licences you have, but it takes deliberate effort to see which of them are actually being used, and by whom, and whether the plan each person holds matches what they actually do.

Where Licence Money Leaks

Departed Staff Still Licensed

Accounts get disabled when someone leaves, but the licence often stays assigned and billed, sometimes for years after the person has gone.

Overlapping Add Ons

Individual add ons bought over time frequently duplicate features already included in a bundle you are paying for elsewhere in the tenant.

Oversized Plans

Staff who live in email and one or two apps rarely need the same premium plan as your power users, yet everyone often gets the same licence.

What a Licence Review Actually Finds

A proper review maps every assigned licence against real usage, sign in activity, app usage, and mailbox activity, then compares what each person holds against what their role actually requires. The outcome is a concrete list, licences to remove, plans to downgrade, add ons that duplicate bundled features, and occasionally the reverse, someone under licensed and working around a missing capability in insecure ways.

The savings are rarely dramatic on any single line, but across a whole business they compound, and unlike most cost cutting, nobody loses anything they were actually using.

Making It Stick

The bigger win is process, licences reviewed automatically when someone leaves, plan choices matched to roles at onboarding, and a periodic check so drift never builds up again. Our Licence Optimisation and Cost Management service does exactly this, and it pairs naturally with the budgeting and planning work in our IT Strategy and Virtual CIO service, so licensing decisions stay connected to where the business is actually heading.
